Documents Library
Purpose
The Documents collection is for downloadable files — handbooks, policies, conditions of competition, entry forms, scorecards, AGM minutes. Each document is a single uploaded file with searchable metadata.
When to use this
- Use Documents when the file is a published resource that members or visitors might download (PDFs, Word, spreadsheets, anything else).
- Use Media for images and videos embedded in pages.
- Use Attachments on an Event for one-off entry forms tied to a single event.
Key fields
- Title — what members see in the list.
- Slug — URL fragment.
- File — the upload itself.
- Category — relationship to Document Categories (Policies, Forms, Newsletters, Handbooks…).
- Description — short summary, indexed for search.
- Status — Draft / Published.
Common tasks
Upload a new document
- Content > Documents, Create New.
- Drag your PDF into the File field.
- Title, Description, Category.
- Status = Published, Save.
Replace a file (keep the URL stable)
- Open the existing document.
- Click the file thumbnail and choose Replace.
- Save. The slug and URL stay the same so existing links keep working.
Organise by category
- Content > Document Categories, Create New for each broad group (Policies, Entry Forms, AGM, Newsletters).
- Assign each document to one category. Don't create more than ~10 categories — search engines and members both prefer focused taxonomies.
Gotchas
- The slug appears in the URL —
/documents/competition-rules-2026.pdf. Renaming a published document's slug breaks every existing link. - No version history on the file content — replacing a file overwrites it. If you need to keep historical versions, upload them as separate documents with the year in the title.
- Large files — PDFs over 10 MB make pages feel sluggish on mobile. Optimise PDFs first; aim for under 5 MB.
- Don't store sensitive data — uploaded files are publicly accessible via their URL even if Status is Draft. For private files, ask about the Intranet (Spaces) integration.
