Email Hosting

Purpose

Manages email accounts under your club's domain via MailCheap — e.g. secretary@yourclub.com, pro@yourclub.com. You can create mailboxes, set forwarding rules, and configure auto-responders without leaving the admin.

When to use this

Adding a new committee member who needs a club email.
Setting an auto-reply for the secretary while they're on holiday.
Configuring a catch-all forwarder.

Key fields (per email account)

Email address — the local part (e.g. secretary) — domain is your verified domain.
Password — set for IMAP/SMTP access. Visible only on creation.
Forwarding to — optional. Mail forwarded to one or more external addresses.
Auto-responder — toggle plus subject and body.
Quota — mailbox size (default 1 GB).
Status — Active / Suspended.

Common tasks

Create a new mailbox

Integrations > Email Hosting, Create New.
Enter the local part and choose your domain.
Set a strong password (the admin sees it once, on save).
Quota and forwarding as needed.
Save. The mailbox is provisioned in MailCheap within a few seconds.

Set up forwarding

Open the email account.
Forwarding to > add external addresses.
Optionally tick Keep a copy in this mailbox.
Save.

Auto-responder while away

Open the email account.
Auto-responder = on. Subject: "Out of office — Cathkin Braes". Body: standard OOO text.
Save. Disable when you're back.

Gotchas

MailCheap API quirks — /accounts/ (plural) is the endpoint; ?domain= filtering doesn't work server-side. The nooQ admin handles this for you.
Password resets — the admin can reset a mailbox password but cannot recover the old one (it's hashed in MailCheap).
DNS — your domain must have MX records pointing at MailCheap. The admin doesn't manage DNS — contact support if mail bounces.
Quota — exceeding quota silently blocks new mail. Monitor mailbox usage if you have light cleanup discipline.
Account deletion is permanent and immediate — all stored mail is wiped. Forward to another mailbox for at least 30 days before deletion.
