Managing Media

Purpose

Media is the central library for every image and video on your site. Once uploaded, a media item can be referenced from any block on any page or post.

When to use this

Whenever you have a photo, logo, hero image, video, or icon. Upload it here, then reference it from a block.

Key fields

  • Filename — set by the file you upload. Rename before uploading; renaming after needs an admin.
  • Alt text — required for accessibility and SEO. Describe what's in the image (e.g. "Sunset over the 18th green").
  • Folder — optional. Group images by event or topic.
  • Caption — optional. Used by gallery blocks below each image.
  • Sizes — auto-generated thumbnails (small, medium, large, hero). You don't manage these.

Common tasks

Upload images

  1. Content > Media, Create New (or just drag files onto any image picker in a block).
  2. Add alt text and a folder.
  3. Save.

Bulk upload

  1. Content > Media, then drag-select multiple files onto the upload area.
  2. Each file becomes a Media record. Edit alt text after upload, in batches.

Organise into folders

  1. Content > Folders, Create New (e.g. "Captain's Day 2026").
  2. When uploading or editing media, set the Folder.
  3. Any block that points to that folder picks up new images automatically.

Embed in a page

  1. In a page's Layout, add an Image block (or Gallery block, or any block with an image field).
  2. Click the image picker, choose the media item, save.

Gotchas

  • Optimise before upload. Aim for 1600-2000px wide for hero images, 80% JPEG quality, under 500 KB. Larger files hurt page speed and waste your storage quota.
  • Always set alt text. Without it screen readers say "image", and Google penalises the page in image search.
  • Don't upload PDFs here — use Documents.
  • Filenames become URLs. Use cathkin-clubhouse-evening.jpg, not IMG_4711.jpg.
  • Replace doesn't update the URL — the file is replaced but the public URL stays the same, so cached pages may show the old image briefly.
