Golf club EPOS: what a modern bar and kitchen system should do

A golf club EPOS that takes payment from any member account, times the kitchen to pace of play, runs on an iPad and posts every sale to your accounts.

A golf club EPOS should do four things a high-street till cannot: take payment from a member's club account whichever system holds it, send food orders to the kitchen timed to when each group will actually walk off the 18th, run on an iPad rather than a fixed terminal, and post every sale straight into the club's accounts. nooQ's EPOS does all four. Members pay from their ClubV1, intelligentgolf, Golf Genius or nooQ wallet balance, the kitchen display is paced to each group's progress on the course, the till runs on an iPad, and takings flow into Xero or Sage without anyone re-keying a Z report.

Why a golf club's bar is not a normal bar

A pub till only needs to know the price of a pint. A golf club till needs to know who the customer is. Most members pay from a prepaid bar card or a club account, many clubs give members a different price from visitors, and the bar balance is part of the membership record the secretary already looks after. A generic EPOS treats all of that as an afterthought, which is why so many clubs still have a separate card system bolted to the side of the till.

The kitchen is different too. A golf club's busiest hour is set by the tee sheet, not by when people feel hungry. Forty golfers finishing a medal between one and two o'clock all want a bacon roll at once.

Paying from any member account

Members should be able to pay the way they already do. nooQ's EPOS takes payment from:

  • a member's ClubV1 account
  • a member's intelligentgolf account
  • a Golf Genius wallet
  • the nooQ wallet, topped up by card from the member app or the club website
  • card and cash, for visitors and anyone who prefers them

The balance a member sees in the app is the balance the till charges, so the app and the bar never disagree about what a member has left. Every transaction is recorded against the member's single nooQ record, which is how the club gets one spending history per member instead of one per system.

A kitchen display timed to pace of play

nooQ already knows where every group is, because it runs the tee sheet. The kitchen display uses that: a food order placed at the turn, in the member app or by asking Cadd-AI, the club's AI assistant, reaches the kitchen screen timed to when that group is expected to finish, not when the order was placed. If the course is running slow, the ticket moves back. A large society can be flagged in advance so the kitchen staffs up before they arrive.

The result is hot food when the golfer reaches the clubhouse, fewer plates waiting under a lamp, and a kitchen that can see the next hour coming.

Runs on an iPad

The till is an iPad app. A club can put one behind the bar, one in the halfway hut and one in the pro shop, and add another for a summer event without buying fixed hardware.

Linked to your accounts

Every sale, whatever the tender, posts to the club's accounting system: Xero or Sage. Sales arrive split by category and VAT rate, member-account spend is recorded against the right balance, and the treasurer reconciles from the accounts package rather than from a pile of till receipts. How nooQ's Xero and Sage sync works.

Moving from a ClubV1 or intelligentgolf till

Most clubs are not starting from nothing. nooQ's Import from Till takes the product export from your current till, cleans it (removing system and tender rows, duplicates and inactive items, and turning £0 instructions such as "no onion" into choice groups), and builds the new till's product list, button layout and kitchen printer routing from it. The same menu loads into Cadd-AI, so members asking "what's on the menu today?" or "is the kitchen still open?" on the website or WhatsApp get the same answer the bar would give. Cathkin Braes Golf Club was the first club through it.

If the club is moving its whole system, not just the bar, read how to migrate a golf club from ClubV1.

What to ask any golf club EPOS supplier

  • Can members pay from the account they already have, in the system the club already uses?
  • Does the kitchen know when a group will finish, or only when the order was placed?
  • Does it run on hardware you already own?
  • Does every sale reach the accounts without a person re-keying it?
  • Can it import your current product list, or will someone type 500 items in again?

Frequently asked questions

Can golf club members pay at the bar from their ClubV1 account?

Yes. nooQ’s EPOS takes payment from a member’s ClubV1 account, an intelligentgolf account, a Golf Genius wallet or the nooQ wallet, as well as card and cash.

Does the nooQ EPOS run on an iPad?

Yes. The till is an iPad app, so a club can run tills at the bar, the halfway hut and the pro shop without fixed terminals.

How does a kitchen display know when golfers will finish?

nooQ runs the tee sheet, so it knows each group’s tee time and progress. A food order reaches the kitchen screen timed to the group’s expected finish rather than the moment it was placed.

Does the EPOS post sales to Xero or Sage?

Yes. Every sale posts to the club’s Xero or Sage account split by category and VAT rate, so takings reconcile without re-keying till reports.

Can we bring our menu across from our current till?

Yes. Import from Till reads the product export from a ClubV1 or intelligentgolf till and builds the new product list, button layout and kitchen printer routing from it.
