What "two-way" should mean
Plenty of club systems say they "integrate with Xero" when they mean they can export a CSV. A real two-way sync means:
- out of the club system: every sale, subscription and refund reaches the accounts on its own, coded to the right nominal account and VAT rate
- back from the accounts: what has been paid, what is outstanding and the bank position are visible in the club system without a second login
If the treasurer still downloads a report on a Monday morning and types it in, it is not a sync.
What nooQ sends to Xero or Sage
- membership subscriptions, joining fees and monthly instalments
- visitor green fees, society deposits and balances
- lessons, range and simulator bookings
- bar and kitchen takings from the nooQ EPOS, by category and tender
- refunds, as refunds rather than negative sales
What nooQ reads back
- invoices and payments, so outstanding member balances are current
- bank balances and the profit and loss position
- aged debtors, so the secretary can see who owes what before the AGM
Financial views are only shown to club managers and administrators, never to members or general staff.
Why it matters for a golf club
A golf club's income arrives from more places than most small businesses: subscriptions, visitors, societies, the bar, the kitchen, the pro shop, lessons and competitions. Each one kept in a separate system is another reconciliation. Putting them in one platform that talks to the accounts both ways is the difference between a treasurer who checks the numbers and one who builds them.
Questions to ask any supplier
- Is it a live connection or a file export?
- Does it post by VAT rate and nominal code, or one lump sum?
- Does anything come back from the accounts?
- Does it cover the bar and kitchen, or only subscriptions?
